Reserving the Terrace Room
The Terrace Room in Margaret Jacks Hall is available for academic or administrative events pertaining to/hosted by Stanford University. It is not available for classes or social gatherings.
Margaret Jacks Hall, Building 460, Room 426 + outdoor terrace
- Maximum capacity inside 426: 44 people
- Chairs: 44
- Furniture: Lectern; Tables: 14 rectangular flip-top tables (30”x60”), 2 24”x72” food tables; 2 leather seating chairs with small side table
- Outdoor patio furniture: 3 large metal round tables, 2 large metal banquet tables, 17 metal chairs
- AV Equipment: 2 flat-screen TVs, audio and visual conferencing, microphones, HDMI & VGA laptop connection
Margaret Jacks is a card access only building. For the security of our academic units, we do not unlock the doors of the building. Stanford staff should have their ID cards to swipe in. For events open to the public, please arrange to have a staff person at the door or inquire about temporary lenel access for your event if the event is between 8am-5pm.
Associated and required fees:
- Room fee - we charge a donation fee of $100 per day for reservations over 4 hours, and for any reservations that include catering. This donation helps us to maintain and update the furniture, equipment, carpet, and overall cleanliness of the room and kitchen. ·
- Service Requests - any service request work orders related to trash/compost/recycle bins and large post-event cleaning.
- AV requests - if you are unfamiliar with our room or would like additional AV support setting up, please request a pre-meeting consultation for help before the event, and call UIT’s hotline (650) 498-9996 for immediate help with an active issue during your reservation period.
The department reserves the right to charge groups that do not adhere to the Terrace Room guidelines for any damages during their reservation, or for lost keys.
Please read these requirements carefully before reserving the Terrace Room.
1. Contact EnglishDept [at] stanford.edu (EnglishDept[at]stanford[dot]edu) with your initial event inquiry. Please include the event date and time (add set-up and clean-up time). We will confirm whether or not the room is available for your desired date and time, and the event will be tentatively penciled onto the calendar.
2. Once we have confirmed your requested date and time is available, a formal reservation form and confirmation will be emailed to you as an Outlook calendar invitation. The Outlook calendar invitation will include the details for creating an expense journal entry for our department.
3. Your reservation remains tentative until we receive:
1. Completed reservation form
2. Approved copies of all relevant work orders
a) If you are serving food and/or beverages, ordering trash bins is required. The Terrace Room is not equipped with trash receptacles. It may also be necessary to file a cleaning work order if you anticipate the need.
3. Accepted Outlook calendar invitation
4. Coordinate pick-up and drop-off of the Terrace Room key from the English Department office in room 460-201. Event coordinators are responsible for obtaining and returning the key during department office hours.
After the Event
Once the event ends, it is the user's responsibility to return the room to the set-up shown below:

After returning the room to this state, please ensure that:
- All trash has been disposed of in the bins provided by Buildings, Grounds & Maintenance. Do not leave bins inside the Terrace Room - place them outside in the hallway.
- All food is disposed of and no supplies remain in the kitchen.
- All equipment in the room has been turned off and returned to its initial location.
- All lights are turned off.
- Terrace Room doors are locked.
- Key is returned to room 460-201.
